Terms of Service

Service Description

TopCopilot provides Microsoft Word and Excel add-ins (including WPS compatibility) plus account and billing features. You must use the service lawfully and may not use it to infringe rights, break the law, or interfere with service operations. Maintenance, upgrades, or model changes may cause temporary interruptions, and we do not guarantee 100% availability at all times.

Before you use the service

• Translation results are written directly back to the Word or Excel document.Back up your files before useImportant files.
• Translations may contain errors or omissions.Proofread the translated content yourself, especially for contracts, legal, medical, financial, and other professional documents.
• For complex layouts (such as tables, cross-references, and special formatting), review the translated document to confirm that both formatting and content meet your expectations.

Credits and subscriptions

• Plans include a free tier and paid tiers such as Pro, Pro Max, and Ultra. Monthly fees, monthly bonus credits, and glossary and Prompt limits are subject to thePricing pageand the information shown in your account after signing in.
• Paid memberships use theprepaid model: purchase 1, 3, 6, or 12 months at once (longer purchases may qualify for a discount shown on the payment page).No automatic renewal and no automatic charges; when the membership expires, its benefits end and you must renew manually.
• Both free users and paid members receivemonthly bonus credits, reset each month according to the applicable billing cycle;unused monthly bonus credits for the current month do not roll over to the next cycle. After membership expires, unused member monthly bonus credits are cleared.
• Independently purchasedcredit packsare valid from the date they are credited for 365 days; unused credits are automatically cleared at expiry.
• When credits are charged,member monthly bonus credits are used first (free users' free monthly bonus credits are used first), followed by other bonus credits, and finally the remaining balance in independently purchased credit packs.
• Translations, AI chat, and other features deduct credits based on actual AI processing volume. Enabled glossaries and custom Prompts also count toward processing volume and may increase usage for a single request.
• Upgrade: paid members can only upgrade to a higher tier (for example, Pro → Pro Max). The upgrade takeseffect immediately; the remaining membership value may be credited against the amount due under the applicable rules. The membership cycle restarts on that date, and monthly member bonus credits are issued for the full month at the new tier's quota.
• Downgrade: switching to a lower paid tier is not supported during an active membership. To use lower-tier benefits, wait until the current membership ends and the free version is restored, then purchase the desired plan.
• Renewal: an active membership can be renewed early to extend its term. Renewal only extends the membership term; it does not change monthly member bonus credits already issued for the current month, which will still be issued on the monthly reset date.
• Starting from the first paid membership purchase, the cumulative membership term may not exceed 2 yearsin principle; once the limit is reached, part of the term must expire naturally before you can renew again.

Membership expiry and refunds

• Memberships are prepaid andend automatically at expiry; there is no need to cancel a subscription or turn off auto-renewal. Membership benefits and your credit balance remain available until expiry.
• The free version is restored after membership expires. If your glossary, Prompts, or other resources exceed free-tier limits, the server may delete the portions that exceed those limits.
• Except as required by law, fees paid are generally non-refundable. For the specific circumstances and how to apply, see our Refund Policy。
• If the service ends due to force majeure, unused membership benefits and independently purchased credits will be refunded in proportion to their remaining value.
• For paid orders, you can request an invoice in your account, subject to the in-product invoicing process and applicable tax rules.

Data and records

• Translation and AI chat use third-party APIs (such as DeepSeek and Tencent Cloud), and the text you submit is sent to third-party servers for processing.Do not enter sensitive information. For details, see thePrivacy Policy。
• The TopCopilot serverdoes not persistently store:the content you translate. It is discarded after the request is processed and is not used for training or public disclosure.
• For billing and reconciliation, we may retain usage metadata for a short period (such as feature type, character/token count, and credits deducted) and 60 daysautomatically delete it afterward.
• Account data you actively save, such as glossaries and Prompts, is handled in accordance with thePrivacy Policy.

Translations are provided for reference only and do not constitute professional advice. To the extent permitted by law, we are not liable for data loss or business losses caused by network failures, third-party models, system maintenance, failure to back up data, or user error.

Account management

If an account violates these terms, abuses the service, or compromises service security, we may suspend or terminate the service and reserve the right to pursue legal remedies.

Changes to these terms

We may update these terms, and material changes will be announced in the product. Continued use of TopCopilot after an update constitutes acceptance of the revised terms.
