Will translation change the formatting of my Word, Excel, PowerPoint or WPS files?
For. docx files written and formatted normally in Word, full-document or selection translations are written back in place, generally preserving bold text, numbering, lists, tables, cross-references, and other formatting well. In most cases, you will not need to redo the layout. After translation, we recommend a quick review, focusing on tables spanning pages, numbering continuity, and cross-references. If the. docx was converted from a PDF or another format, the conversion may already have introduced column layout issues, text boxes, redundant styles, and other problems, making the layout inherently unstable; translating and writing back the text may then cause more noticeable layout changes. This does not mean the add-in has disrupted a natively created document. For these files, we recommend cleaning up the layout in Word first, or translating selections section by section, then checking paragraphs and tables carefully. For academic PDFs, you can first convert them to Word using MinerU (https://mineru.net), which generally preserves two-column layouts and formulas better than some Aspose-based converters; results vary by document, and we are not responsible for third-party conversion services.
Is bilingual translation supported? How can I compare languages in Word, Excel and WPS?
Yes. In Word / WPS Writer, select “Bilingual” as the write-back mode before starting a full-document or selection translation: the original text is retained, with each translated paragraph inserted below its corresponding original paragraph for easy comparison while reading; to produce a final translated document directly, select “Translation” to write it back in place. In Excel / WPS Spreadsheets, after translating a whole sheet or selection, use “Sheet Display” in the sidebar to switch between “Translation / Bilingual / Original”: bilingual mode places the original text above the translation within the same cell, and you can switch at any time without retranslating. PowerPoint / WPS Presentation currently supports translation-only write-back, not bilingual text beneath each original paragraph; you can translate the entire presentation or the current slide to produce a translated deck. One installer covers Word, Excel, PowerPoint, and WPS; bilingual features in Word / Excel require add-in version 1.0.122 or later. For English web pages, you can also use the browser extension, which inserts translations below the original text for bilingual reading.

How much does TopCopilot cost?
Free trial credits are included at sign-up. Monthly fees and monthly credits for Pro / Pro Max are on the pricing page (/pricing). Other tiers follow what the Account page in the Word sidebar shows after you sign in.
Which languages are supported?
Supported languages include English, Japanese, Russian, Malay, Thai, German, French, Spanish, Indonesian, Vietnamese, Korean, Arabic, and Simplified and Traditional Chinese. If you need another language, contact support to request it.
How do I translate an academic PDF?
TopCopilot translates within Word only and cannot open PDFs directly. To translate an academic PDF in Word, either in full or by selection, we recommend converting it to. docx first. Your conversion tool affects the resulting layout. For papers containing formulas, two-column layouts, and charts, try exporting to Word with MinerU (https://mineru.net), which generally produces results closer to an editable native layout than some Aspose-based converters. Some Aspose-based conversion methods are more prone to column layout issues, overlapping text boxes, and similar problems; if you then translate the file in Word, layout problems often stem primarily from the conversion stage rather than the translation write-back itself. After conversion, review the layout throughout the document in Word before using TopCopilot. TopCopilot is not affiliated with MinerU; please assess conversion quality yourself.
How do I install it?
On Windows, get the official installer (.exe) from the download page; before installing, fully close Word, Excel, and WPS Writer / Spreadsheets, then run the installer and follow the prompts. Once installation is complete, open any of these applications, click “AI Assistant” at the far right of the menu bar, open the sidebar from the ribbon below, and sign in to start using it. One installer registers the add-in with both Microsoft Office and WPS Office, automatically supporting 32 / 64-bit versions.
How do I set up TopCopilot in WPS?
A single TopCopilot installer registers the add-in with both Microsoft Office and WPS Office, so no additional WPS-specific setup is needed after installation. To enable it: open WPS Writer or WPS Spreadsheets → click “AI Assistant” at the far right of the menu bar → open the sidebar from the ribbon below → sign in. Then choose full-document, whole-sheet, selection, or selected-word translation. If “AI Assistant” is missing from the menu bar, this is usually due to WPS's general warning for third-party COM add-ins: go to “File → Options → Trust Center”, select “Enable all third-party COM add-ins” under “Trusted Add-ins”, and restart WPS to apply the change; alternatively, check that the TopCopilot add-in is still selected in the COM add-ins list.

What if WPS warns that COM add-ins may slow startup?
In WPS Office 12.1.0.26895 and later, some users may see the message “Third-party add-ins that may slow startup have been disabled on this computer”, or see WordAddin.Connect / ExcelAddin.Connect flagged by WPS in the COM add-ins list. This is a general WPS security and performance notice for third-party COM add-ins, not an indication of a problem with the TopCopilot add-in. Our add-in does not slow WPS startup, and we are also applying for official WPS certification. Solution 1: Open WPS, go to “File → Options → Trust Center”, and under “Trusted Add-ins” select “Enable all third-party COM add-ins, effective after restarting WPS”. Click “OK”, then fully exit and reopen WPS. Solution 2 (we recommend following the illustrated guide): Open WPS Writer or WPS Spreadsheets → select “Tools” at the top → “COM Add-ins” → select WordAddin.Connect (Writer) or ExcelAddin.Connect (Spreadsheets) → click “OK”. If “AI Assistant” is still missing, fully exit and reopen WPS, or contact our support team for troubleshooting assistance.
If the “COM Add-ins” list is empty (WordAddin.Connect / ExcelAddin.Connect are not visible), follow the image above to enable add-ins; if they are listed but unchecked, follow the steps below.
Under “File → Options → Trust Center”, select the option to enable all third-party COM add-ins.
WPS Writer: Tools → COM Add-ins → Check WordAddin.Connect → OK.
WPS Spreadsheets: Tools → COM Add-ins → Check ExcelAddin.Connect → OK.

Are Excel and WPS supported?
Yes. One installer covers Microsoft Word / Excel and WPS Writer / WPS Spreadsheets. Word and WPS Writer support full-document / selection / selected-word translation, AI chat, and AI Fill; Excel and WPS Spreadsheets support whole-sheet / selection / selected-word translation, AI Assistant, and Coding Agent, with batch translation written back cell by cell while formulas and number formats remain unchanged. For whole-sheet translation, select “Translate All Worksheets” to translate all visible sheets in the workbook at once, then switch between “Translation / Bilingual / Original” after translation. See the “Supported Host Applications” comparison table on the features page for details.
How do I sign in?
By default, sign in by scanning a QR code with WeChat (recommended); simply scan to authorize access. Signing in with a phone number and verification code is also available as a secondary option, and both methods are linked to the same account. Your sign-in session automatically renews on a rolling 30-day basis, so you can keep using the service without repeatedly signing in.
Is an internet connection required? Can I translate offline?
An internet connection and sign-in are required. Translation uses cloud-based AI; the Word add-in has no offline translation mode. Glossaries and custom Prompt settings are saved to your account and remain available when you sign in on another computer. When offline, please use a local dictionary instead; document-level format-preserving translation currently requires an internet connection.
How do I use a glossary?
In Word, go to “AI Assistant”→“Glossary”: create a glossary and add or import entries, then turn on “Enable” on the left. The glossary is applied automatically during translation to keep company names, product names, and other terms consistent.
When should I use a custom Prompt?
Use it for translation requirements that a glossary cannot address. Give AI natural-language instructions to translate in a specific tone or style, or ask it to polish or proofread text. For example, “Translate into formal business English”.
Which large language model is used?
The default is currently the production release of DeepSeek V4 Flash (deepseek-v4-flash). Switching between multiple models will be supported in the future; credit charges may vary by model, so please refer to the information shown in your account at the time of use.
Is there a browser extension for webpage translation? How do I install it?
Yes. TopCopilot AI Translation Assistant is a Chrome / Edge browser extension: click “Translate this page” to translate an entire webpage in one click, with translations inserted below the original text for a bilingual view, translating only the main content and skipping navigation and ads; switch between four engines—Bing, Google, built-in browser AI, and LLM—with text-selection translation, a word dictionary, and English grammar analysis also included. It is now available on the Microsoft Edge Add-ons store for one-click installation (Edge 114 and later); availability on the Chrome Web Store is coming soon.
Is the webpage translation extension free? How does it relate to the Windows add-in?
The webpage translation extension's Bing, Google, and built-in browser AI engines are free to use; the LLM engine uses credits. It shares the same account and credits with the Word / Excel / WPS add-ins for Windows and the online web tools—use the browser extension to read English webpages and the Windows add-in to translate documents, all in one ecosystem.
Could translated content be leaked? How is translation confidentiality ensured in WPS?
Documents are submitted to cloud models for processing during translation tasks, and temporary content is cleared afterward according to product policy; your contracts will not be made public as part of a content library. The Windows installer has been checked by the 360 Software Open Platform.
