Use Cases

Researchers

Translate paper drafts and excerpt notes in Word while preserving equation placeholders and layout wherever possible; translate entire foreign-language data sheets / experiment logs in Excel.

Work with paper drafts and literature notes in Word: selection translation is ideal for close reading of individual paragraphs with side-by-side comparison in the sidebar, while full-document translation is ideal for translating entire papers (working on a copy is recommended). A glossary can standardize terminology, while formula placeholders, figure and table descriptions, and heading structure are preserved as much as possible.

Translate paper drafts between Chinese and English

After writing the core sections in Chinese and setting up the heading hierarchy, translate the full document or a selection in a copy to generate an English draft. Add your research group's common terms, gene names, method names, and other terminology to the glossary and enable it to reduce inconsistent translations of the same concept; you can also use a custom Prompt (for example, spell out abbreviations on first use).

Always review and edit manually before submission: AI translations may contain terminology, tense, or passive-voice usage that does not match the journal's conventions and must not be treated as final drafts. After translation, check formulas, figure and table captions, and similar content against the original.

Convert PDF papers to Word first

TopCopilot only translates within Word and cannot open PDF files directly. If your paper is a PDF, first convert it to .docx, then open it in Word and use full-document or selection translation.

The conversion tool affects the layout: for papers with two-column layouts, formulas, figures, and tables, try exporting to Word with MinerU (https://mineru.net), which usually produces a more editable layout than some Aspose-based conversions; Aspose-based solutions are more likely to disrupt columns and formatting. Read through and check the converted document in Word before translating. For more details, see “How do I translate a PDF paper?” in the FAQ.
