Third-party AI and cloud services

• AI assistant (translation and chat): requests are forwarded through our servers to third-party large-model services (such as DeepSeek, depending on the product's actual configuration) for inference. Third parties may briefly process your text on their servers, and their data handling is governed by their own privacy policies.
• Infrastructure and accounts: accounts, billing, SMS verification, object storage, and related capabilities are provided through Tencent Cloud and related services.
• TopCopilot Not persistently stored on the server: translation request bodies and AI chat content are discarded after processing and are not used for model training or disclosed publicly. Account data you intentionally save, such as glossaries and prompts, is excluded; see “Storage and security” below.

Browser extension (TopCopilot AI Translation Assistant)

The browser extension (Chrome / Edge) reads page content only when youactively click “Translate this page” or select text: full-page translation sends the current page'smain content textto the translation engine you select. Bing / Google call their online translation services directly; browser built-in AI runs locally; LLM requests are forwarded through our servers. Word selection translation and English grammar analysis send the selected text to TopCopilot servers for processing, after which it is discarded and is not persistently stored or used for model training.

The extensiondoes not read form inputs, cookies, or password fields; does not perform silent background collection; and does not inject ads or remote code; sign-in works the same way as the Windows add-in (WeChat QR code or SMS), with the same account and credits.

Information we collect

To provide translation, account, and billing services, we may process your registration information (such as phone number or email), account and subscription status, credit transactions, and translation requestusage metadata(such as feature type, character/token count, and credits deducted). To improve the product and troubleshoot issues, we may collectproduct usage statistics(such as feature opens, translation start/completion/failure, and sign-in results), along with device and Office/WPS environment information (operating system version, add-in version, host application type and version);does not includedocument text, translation content, or original glossary entries. Apart from the third-party processing described above, TopCopilot serversdoes not persistently store:your document text or translation results. For updates and troubleshooting, we may process necessary logs such as device identifiers.

How we use information

We use information for authentication, credit and subscription management, billing reconciliation, translation quality improvement, customer support, and security. We do not use your translated content for model training or public disclosure; content sent to third-party AI services is used only for the current translation or chat request.

Storage and security

Data is stored on controlled cloud services, and we take reasonable technical and organizational measures to protect your information. Translation request bodies are not stored; logs related to usage, billing, and product usage statistics are retained for approximately 60 daysand then automatically deleted. Account data you intentionally save, such as glossaries and prompts, is retained until you delete it, close your account, or cancel your subscription. Do not store illegal or prohibited content in glossaries.

Your rights

You may request access to, correction of, or deletion of your personal information through account settings or customer support, except where applicable law provides otherwise. For credit and subscription rules, seeTerms of Service。
