Who needs an email translation extension?

When people search for “email translation” or “Gmail translation”, they mainly want tostay inside their inboxwhile understanding foreign-language messages and checking key details against the original.

International customer email · Quotes and lead times

When you need to compare PI details, lead times, Incoterms or payment terms with the original, bilingual text below each paragraph is safer than replacing the whole page and helps prevent misreading amounts or dates.

Multi-message threads

When a CC chain or reply thread is long, there is no need to copy the entire email into a separate translator. Translate the current page, then decide whether to organize it in Word for archiving.

Supplier / logistics notices

English delivery notices, customs supplements and overseas-warehouse exception emails can be translated as soon as you open them. Look up terms with selected-text translation and use grammar analysis for long sentences.

Translate the current email in three steps

List views do not contain the message body, so open the email you want to read first.

  1. 1

    Install TopCopilot AI Translation Assistant

Install the extension from the Microsoft Edge Add-ons store (Edge 114 or later). The Chrome Web Store listing is coming soon; functionality is the same as on Edge.

  2. 2

Open the email you want to read in webmail

Sign in to Gmail, Outlook or Zoho Mail, open a specific email and wait for the full body to appear in the reading pane. Inbox list views usually have no translatable body.

  3. 3

In the sidebar, choose Full-page translation → Translate this page

Open the extension sidebar, choose the target language and engine, then select Translate this page. The translation is inserted below each email paragraph as a bilingual view. You can switch to translation-only or restore the original.

Gmail, Outlook and Zoho webmail

All use the same Full-page translation workflow; the main difference is how each mailbox places the message body in the page.

Mailbox Where to use it Tips
Gmail mail.google.com Open one message in a conversation and translate it. If the body is not detected after switching messages, select Translate this page again.
Outlook on the web outlook.live.com · Microsoft 365 webmail Aim to translate only the reading-pane body, not the folder tree and buttons on the left.
Zoho Mail mail.zoho.* · Zoho Mail webmail The body may be in a same-origin iframe or composed of div paragraphs. The DOM can re-render after switching messages, so translation may occasionally be needed again.

Browser translation vs. copying into an online translator vs. an email translation extension

When reading email, the presentation determines how quickly you can compare the translation with the original.

Comparison Built-in browser translation Copy into an online translator TopCopilot extension
Reading experience Replaces the entire page, including folder menus Only the pasted text is translated, losing layout and quoted blocks Bilingual text below each email paragraph while the interface stays intact
Steps Translates the address bar and makes it hard to translate only one message Requires repeatedly copying the body into another website Open the email → select Translate this page in the sidebar
Checking the original Requires switching display languages back and forth The original is in the mailbox and the translation is on another page Original and translation are shown together on the same screen
Close reading a sentence No dictionary-level selected-text lookup Requires pasting each sentence separately Look up selected words or translate sentences from the same extension sidebar

Frequently asked questions

Do I need a separate email translation extension?
No. Email translation and web page translation use the same browser extension, TopCopilot AI Translation Assistant. Reading Gmail / Outlook / Zoho mail and English articles both use Translate this page under Full-page translation in the sidebar. This page explains the email workflow; install the extension once.
How do I translate Gmail emails?
Open the message at mail.google.com, click the extension icon in the toolbar, choose the target language and engine in the sidebar, then select Translate this page. The extension detects paragraphs in the email body and inserts the translation below the original. This is the recommended way to translate Gmail messages and avoids copying text into Bing Translator.
Does Outlook email translation support webmail?
Yes. It supports outlook.live.com, outlook.office.com and Microsoft 365 webmail. Open a specific message and use the same Translate this page workflow as Gmail. For Outlook, the extension focuses on the reading-pane content where possible.
Why does it say no body text was detected?
Common reasons are that you are still in the inbox list, the message body has not loaded, or you just switched emails and the page is still rendering. Open the target message, wait for the body to appear and select Translate this page again. In Zoho and similar mailboxes, scroll the reading area and retry.
Does business email translation use credits?
With Bing Translator, Google Translate or a built-in browser AI engine, you can try full-page translation without signing in. LLM engines require sign-in and use credits. Text is sent to the selected engine only when you start translation, and the extension shares the same account and credits as the Windows Word / Excel add-ins.
How do I archive a translation in Word?
The browser extension is designed for reading email on the web. If you need a formal translated document, copy the content into Word and use full-document or selection translation in the TopCopilot Word / WPS add-in to write it back. See the Word full-document translation guide.

Use the Windows add-in for documents

Use the browser extension to read email. To write translations back into contracts, quotation sheets and other documents, use the Word / Excel / WPS add-ins with the same account.

Foreign-language email, bilingual as soon as you open it

Install TopCopilot AI Translation Assistant, then open a message in Gmail / Outlook / Zoho webmail to read bilingual text below each paragraph. Free engines work immediately after installation.
