Use Cases

Working and Studying Abroad

Translate foreign-language reports and bilingual assignments directly in Word for general or close reading; translate entire foreign-language reports / datasets in Excel with less back-and-forth copying.

When reading foreign-language materials or writing bilingual reports or assignments, there is no need to copy back and forth between Word and web-based translation tools. TopCopilot is integrated into the Word sidebar: for general reading, translate a full copy for comparison; for close reading, use selection translation. Once your draft is ready, translate it into the target language while preserving the original heading hierarchy and lists wherever possible.

Read Foreign-Language Materials

For general reading: make a copy of the document and translate it in full, then compare the original and translation in split-screen view or separate windows to understand the overall structure.

For close reading: when you encounter a difficult sentence, first enable “Selection Translation”, then select the sentence in Word and release the mouse button. The translation appears automatically in the sidebar without changing the document text by default; once you understand it, click “Write to Document” if you want to replace the selection.

Write Reports and Assignments

You can first draft in your native language in Word, refine the heading hierarchy, lists, and bold formatting, and confirm the content before translating all or part of a copy into the target language. Translations are written back in place, preserving the layout wherever possible and reducing the time spent fixing formatting after pasting text back from web-based translation tools.

To check grammar or rephrase sentences, use “AI Chat” or enable “Custom Prompt” to polish your writing; before submitting, verify citations, data, and formatting against your course or company requirements.

Using Web-Based Translation Alongside TopCopilot

Web-based translation works well for individual sentences; for entire Word documents, we still recommend translating and writing translations back within the document to avoid misaligned tables, headers, and footers when pasting. An internet connection and sign-in are required, and your glossary and Prompt sync with your account.

If you are reading English webpages directly in your browser (foreign-language materials, online documents, or forums), use the TopCopilot AI Translation Assistant webpage translation extension for Chrome / Edge: translations appear below the original text for bilingual comparison, translating only the main content, with one-click translation of the entire page.
