Use Cases

Cross-Border E-Commerce

Prepare master copies of listings and marketing content in Word and translate them into multiple languages; translate entire SKU, category, and attribute sheets in Excel, using the glossary to standardize brand translations.

Listings, A+ content, and email templates are often prepared as master copies in Word, then adapted into language versions for each regional marketplace. TopCopilot supports batch translation of long descriptions within Word while preserving formatting such as lists and bold selling points wherever possible, making it easy to copy content into the seller dashboards of platforms such as Amazon and Shopee.

Product description localization

Place the main site's Chinese or English descriptions in a Word document, then use full-document translation to generate versions in target languages such as Japanese, Russian, and Spanish; for very long descriptions, translate selected sections separately to make paragraph-by-paragraph review easier than processing the entire document at once.

Save each language version as a separate .docx file, review it, then paste it into the store dashboard for the corresponding country. Preserve list items and bold keywords wherever possible for compatibility with the platform's rich text editor; if the platform does not support certain styles, simplify the formatting in Word before translating.

Consistent terminology and brand names

Inconsistent translations of the same brand across listings can affect search visibility and brand recognition. Import brand, category, and material terms into the glossary using CSV so they are applied automatically during translation; for SKU codes, model numbers, and similar identifiers, keep the original text or add a fixed translation to the glossary.

Multiple stores and sites can share the same glossary account, which remains available when you sign in on another device, reducing terminology inconsistencies across operations teams.

Marketing Copy Tone

Beyond literal translation, you can specify target-market conventions in “Custom Prompt”, such as “Translate into polite language suitable for Japanese e-commerce, keeping the selling-point numbering”. Full-document or selection translation will incorporate this preset; for multiple rounds of revision, use “AI Chat” to refine the text in the sidebar, then click “Write to Document”.

Please verify compliance with platform rules on prohibited terms, exaggerated claims, and other restrictions; AI output is for reference only, and a final human review is still recommended before publishing a listing.

Multilingual Workflow Tips

Recommended workflow: finalize the master document → translate a copy in full into the target language → have the operations team proofread paragraph by paragraph → export documents in each language → upload to the admin portal. For urgent price or specification changes, simply translate the changed passages using selection translation, without retranslating the entire document.
